Wages plus employer costs (NI, pension, overheads) divided by hours worked. Not sure? £25 is a sensible starting point.

This one is an assumption, not a prediction. Be cautious: what's realistic depends on the tasks involved.

Why this number matters

Most owners know they're busy. Few know what the repeat work actually costs, because it's spread across the day in five-minute pieces: re-typing a job into the invoice, chasing a quote that went quiet, answering the same question for the tenth time this week.

Added up, it can come to the cost of a full-time salary or more. Putting a number on it is the first step to deciding whether any of it is worth fixing, and it takes the guesswork out of that conversation.

Where the time usually goes

  • Enquiries and email: sorting, replying, forwarding, and finding the thread again later.
  • Quotes and follow-ups: remembering who to chase, and when.
  • Invoices and payments: raising them, matching them, and nudging late ones.
  • Bookings and reminders: back-and-forth to find a slot, then no-shows.
  • Re-keying data: the same details typed into two or three systems.

Three illustrative scenarios

Typical shapes of business, with deliberately cautious assumptions. These are examples, not client results. Tap one to load its numbers into the calculator.

How the number is worked out

  1. Admin hours a year = people × hours a week × 46 working weeks
  2. Annual cost = admin hours × cost per hour
  3. Value of time freed = annual cost × the share you choose

46 weeks allows for holidays and bank holidays. It's plain arithmetic, with no AI guesswork in the sums. "Value" means capacity: hours your team could spend on work that earns or retains money. It isn't cash in the bank unless you choose to reduce costs.

What happens next

  1. Three quick questions about your business type and where time is lost.
  2. A preview of possible improvement areas, shown straight away.
  3. An optional detailed report by email, if you want to keep it. No hard sell: the report simply ends with a suggested next step.
